We are seeking a detail-oriented, organized, and proactive Facilities Administrative
Assistant to join our team. The ideal candidate will be responsible for managing and coordinating
various administrative tasks within the Facilities department, ensuring smooth and efficient
operations. This role requires strong organizational skills, proficiency with a computer and
Microsoft Suite, reports, data management tools, and a good communicator
Essential Job Functions:
• Create Daily Work Orders: Generate work orders from email requests, ensure clarity, and
assist with assigning tasks to the team.
• Assign Daily Maintenance Inspections: Utilize CMMS (Computerized Maintenance
Management System) to assign daily maintenance inspections (DMIs) to technicians.
• Update Maintenance Logs: Maintain and update various Excel sheets for Daily
Maintenance Inspections (DMI), Work Orders, and more.
• Collect and Monitor Equipment Logs: Gather and review logs from heavy equipment,
schedule repairs based on notes, and ensure timely maintenance. Lock out equipment if
necessary.
• Troubleshoot and Update Tablets: Coordinate with IT for tablet repairs and
troubleshooting as needed.
• Perform Inspections: Conduct inspections on play structures, floats, generators for leaks,
and other equipment as needed for extra coverage.
• Documentation and Record Keeping: Scan and store various documentation including
float, training, DMI, APCD, and permit records.
• Purchase Orders: Create purchase orders for necessary maintenance materials and
equipment.
• Update Procedures and SOPs: Maintain accuracy of Standard Operating Procedures
(SOPs) and training materials.
• Prioritize Work Orders: Create and prioritize work orders for critical inspections and
repairs.

• High School Diploma or equivalent required; Associate's degree preferred.
• Proficiency in Excel, CMMS, and other data management tools.
• Strong organizational skills and attention to detail.
• Proficiency in Microsoft Outlook and other relevant software applications.
• Excellent communication and interpersonal skills.
• Ability to prioritize tasks and manage time effectively
PPE Requirements:
1. Non-slip, steel toe shoes.
2. Vest, gloves, respirator, hearing protection on occasion. (Will be fitted for PPE upon accepting job role.)
